THE KNIGHTACADEMY

ACADEMY POLICIES

Your learning. Your privacy.

How The Knight Academy uses information to provide registration, tutoring and a secure learning workspace.

Information we use

Registration includes the student’s personal email, name, phone number, grade and subjects, plus a separate nominated parent or guardian’s name, email, phone and relationship. The academy reviews parent authority before inviting that adult to verify their own account and accept educational progress sharing. Monthly snapshots contain recorded learning evidence; approved parents can enable or disable monthly summary emails. Private conversations and uploaded work are excluded from parent reports. We store payment references, monthly tuition plans, discounts, paid access periods and verification status, lesson bookings, resources, homework, marks, quiz responses and results, personal study tasks, private lesson reflections and follow-ups, timed mock answers and results, curriculum self-assessments and teacher confirmations, assignment rubric scores and page annotations, portal-guide completion and notification preferences, reliability records, paper bookmarks, teacher-uploaded or embedded video lessons, captions and transcripts, saved video-viewing progress and completion times, separate teacher-reviewed alternative learning evidence, messages, support requests and account-security records. Payment card details are entered with PayFast and are not stored by this academy website.

AI video captions and translation

When a teacher chooses AI caption generation or translation, short audio clips or subtitle text are sent to OpenAI through the academy’s API project. The academy keeps original-language and English captions/transcripts separately. AI results are drafts that teachers review before publication. Temporary caption-processing records support retries and resuming; processed audio clips are not stored in the academy database. Third-party API use follows that provider’s data terms. Video files remain in private academy storage.

Verification methods

If you choose email or text-message security codes, we store the verified destination and security-method status. Codes expire and can be used once. Email delivery uses the academy’s configured email provider, and text codes use Twilio Verify when connected. International SMS depends on destination coverage and local rules. Short-lived verification records and a private security cookie protect your current sign-in. We do not publish phone numbers or verification codes. Optional recovery codes are shown once when created. The server stores hashes and single-use status, with a short-lived proof cookie after a valid code. Downloaded codes must be kept private. Recovery codes do not replace normal account sign-in and are excluded from logical backups to prevent spent codes being reactivated by a restore.

Learning journeys and downloaded copies

Personal revision recommendations use recent practice results. Curriculum self-assessment and teacher confirmation are separate records. Timed mock attempts use server deadlines and save answers. Assignment annotations and rubric marks are shared with the learner and authorised teaching staff. Offline study packs contain private copies you choose to download; keep these on your own device and remove them from shared devices. Saved copies cannot be recalled remotely. First-visit guide completion and email preferences are stored with your account.

Private lesson feedback

A student’s lesson reflection is shared with that student, the teacher who taught the session and the academy owner. It is not published as a testimonial or shared in parent reports. Written feedback and its follow-up can be withdrawn; a submission record and self-reported ratings are retained. Display preferences use a browser cookie. Optional read-aloud uses the browser’s speech service when activated.

Learning tools and your data

Study plans and notes are private to the account that creates them. Relevant teachers can view quiz check-ins, and approved parents can view their linked learner’s recent results and revision topics. Practice results remain separate from formal assignment marks. The low-data cookie stores only a browser preference; official paper links take you to the publisher’s website.

Why we use it

We use information to confirm registration and payment, provide account access, match learning materials, arrange lessons, give feedback, support users and protect the academy. Study-email preferences can be managed in the portal. Account activation and password-recovery messages are separate essential account communications.

Who helps operate the service

The website uses Sites hosting with Cloudflare database and private file storage. Supabase handles academy email authentication, Resend supports account email delivery, and PayFast processes registration and monthly tuition payments. Lesson links may open another meeting provider. Providers may process data outside South Africa. YouTube and Vimeo video players connect to those providers only when you choose to load them; direct video links connect to their hosting provider. These providers have their own privacy practices. If an additional private file-scanning service is connected, uploaded files are sent to that configured service for scanning. Contact the academy for current provider and transfer details.

Messages and moderation

Private messages are visible to the conversation participants. Eligible class members can view their subject channels. Students do not receive classmates’ private email addresses or phone numbers through chat. Reported messages and the report reason are shared with the academy owner for review. Removing a message hides it in chat; a retained copy may be needed for moderation or a legitimate records request.

Children and guardians

A parent or guardian should be involved before a child registers. The portal provides a separate guardian-email confirmation process. A student’s declaration is not the same as completed guardian verification. Contact the academy to discuss permission, review a child’s information or withdraw permission. Guardian permission alone does not open learner records. Parent progress sharing separately requires the academy owner’s relationship approval, verified parent email sign-in and the parent’s acceptance of the specific learner link. Parent reports include marks, teacher feedback, actual attendance and upcoming lesson times; private chats, other learners’ records, payment details and uploaded work are excluded. A parent can stop sharing, and the owner can revoke a link.

Retention and access

Access to learning records and files is checked on the server. We keep records needed for tutoring, support, security, verified payments and legitimate recordkeeping. Private backups may retain earlier copies. Contact the academy for the retention period applicable to a particular record and for an access, correction or deletion request; the academy will explain any information that must be retained.

Cookies and account preferences

The site uses essential cookies for sign-in and registration sessions. Accessibility display choices, such as reading size, colours and focus aids, are stored in a browser preference cookie; they are not a medical diagnosis. Video viewing progress is saved with your academy account. Playback timing cannot establish that someone paid attention. It does not require an advertising-cookie choice to use the academy. External meeting and payment providers have their own cookie policies.

Contact and privacy requests

Email theknightacademy26@outlook.com or open a Privacy or account support request in the portal. Identify the request without including a password, sign-in code or payment-card details. If you are not satisfied with the academy’s handling of personal information, you may contact South Africa’s Information Regulator.

Uploaded learning files

Automatic malware scanning is currently disabled. Uploaded learning files remain private and subject to account, subject and paid-access permissions. File-size and supported-format limits still apply. External video and resource links are handled by their own providers.
